The Challenge & Opportunity
Doctors’ offices were losing valuable time and revenue due to manual, paper-based patient intake processes. Staff members were limited to processing around 30 assessments per day, with each step (distributing forms, scoring responses, and entering data) performed entirely by hand.
This approach not only restricted clinic capacity but also tied up staff resources and increased the risk of human error in scoring and record-keeping. Inaccurate assessments could impact patient care, while disorganized documentation created compliance and security concerns.
The founder recognized an opportunity to solve these problems with a single, streamlined solution: an app that could automate the entire assessment workflow and bring efficiency, accuracy, and scalability to medical practices of all sizes.
Summary
The concept of GreenLight Medical came about from a medical sales representative who saw a common problem in his clients’ medical offices: too much paperwork. Using paper forms to assess patients was slow and inefficient. He envisioned a digital solution that could modernize the intake experience for both staff and patients.
We worked closely with him to turn his idea into a reality. The result was a lightweight, user-friendly application installed on tablets in waiting rooms, allowing clinics to collect patient data quickly and accurately. The app became an immediate success, driving operational efficiency and boosting revenue across the practices that adopted it – over 500 independent practices within 6 months.
Its impact was so significant that one of the clinics using the tool acquired the entire company less than a year after its inception, aiming to roll out the technology across its broader network of offices across the country.

Approach & How We Achieved Goals
Our goal was to create a tool that felt seamless within a clinic’s existing workflow. To achieve this, we began by observing real-world clinic operations to understand the day-to-day challenges staff faced and identify opportunities for improvement.
From the start, patient privacy was a core priority. We designed the application with HIPAA-compliant security measures and ensured it could integrate with any existing clinic system without disrupting operations.
Instead of building everything at once, we followed an agile development approach, releasing updates in rapid, incremental cycles. This allowed us to collect feedback from actual users and continuously refine the product, often launching new features within just one or two weeks.
To support scale and growth, we also developed an administrative dashboard that enabled the founder and his sales team to onboard new clients quickly, often within the same day, and automate monthly reporting for billing and invoicing. This helped streamline client management and reinforced the platform’s role as a turnkey solution for medical offices.
